How to Use the Calculation Tool?

In Lato, the calculation tool helps you quickly compute prices, costs, and markups for all elements in your itineraries so you can build accurate travel proposals with confidence.

All trip elements like accommodations, transfers, activities etc. that you add to the day-to-day program will automatically show up in the calculation tool for that trip and you can add standard margins and fees automatically, or your can add manual margins and fees to each element.

Whether you’re adding service fees, calculating margins, or adjusting costs for clients, this guide explains where to find the calculation tool, how to enter values, standard margins and fees, and how to interpret results — making budgeting and pricing easier and more consistent.

Accessing the Calculation Tool

1. Open a trip

2. Navigate to the “Calculation” tab

3. The tool will automatically have loaded all the trip elements from your itinerary programme and show them here in the calculation tool

Setting Up Your Pricing

Before using the calculation tool, you’ll want to configure your default margins and fees for accommodations, transports, activities and other travel elements, so that when these elements automatically get added to your calculation tool, they will already include your preferred price markups:

1. Go to your Brand settings in the main settings menu

2. Scroll down to “Pricing settings”

3. Set your default margins and fees for each category (Accommodations, Transports, Activities, Other)

4. Don’t forget to click “Save”

You can override default margins and fees for a specific trip from within the calculation tool of that trip:

1. Open your trip in the trip editor

2. Navigate to the “Calculation” tab

3. Update your margins and fees per element

4. These changes only apply to that specific trip

5. Don’t forget to click “Save”

Adding Custom Items

If you have other items that weren’t automatically pulled in from the the itinerary programme (like a general booking fee for the entire trip, or a fee for a guide), you can:

1. Click the ”+” button next to any category in the Calculation tool

2. Fill in the item details

3. Set the price and any specific margins or fees

4. The item will be included in your total calculations

5. Accidentally added an item? Click the ”-” sign that appears on the right when you hover over it

Managing Different Currencies

If your trip involves multiple currencies:

1. Use the currency settings on the top left in the Calculation tool header

2. Use the current market rate filled in by Lato or adjust it manually according to your own needs

3. A new column appears in the calculation tool table.

4. You can enter either a Purchase Currency price or a Sales Currency price.

5. If you enter a Purchase Currency price, it is automatically converted to the Sales Currency price and shown in that column

Understanding the Totals

The calculation tool provides several important totals:

• Subtotals: Total cost for each category (transport, accommodations, activities, other)

• Net total: Sum of all net prices before your margins and fees

• Gross total: Final total including all your margins and fees

• Sales price: The final price you’ll charge your client, either per person or for the entire trip. This is the only price that will be shown in the trip quote on the Travel App, inside the Price tab. It needs to be entered manually, either on the “Calculation” tab or on the “Price” tab.

Notes

• Prices for accommodation alternatives (options B, C, D, etc.) and optional activities aren’t included in the trip’s end price. They show up at the bottom of the calculation tool.

• For now, prices aren’t saved in the elements library and aren’t copied when duplicating trips.

• If you’ve booked a hotel via the RateHawk bookings, the price will integrate directly into your trip calculation tool, pricing flows through automatically, no manual entry needed.
